04 · The problem

The enquiry arrived. Nobody replied for two days.

Most businesses do not have a lead problem. They have a follow-up problem. The enquiry comes in on WhatsApp, or the website form, or a DM, and by the time somebody gets to it the customer has already booked with whoever answered first.

You probably recognise at least one of these

If two or more of these describe your situation, this is the right page.

  • Enquiries arrive across WhatsApp, email, Instagram and phone, and live in four different places.
  • Somebody copies leads into a spreadsheet by hand.
  • The same follow-up message gets typed out forty times a week.
  • You find out an enquiry went cold only when the customer stops replying.
  • Nobody can tell you how many enquiries you got last month.

The fix

What we actually do about it

One inbox, every channel

Website form, WhatsApp, email and social messages all land in one place with a clear owner and a status. Nothing sits in somebody's personal phone.

Answer within sixty seconds, automatically

An instant acknowledgement on WhatsApp buys you the time your team needs. The customer knows they have been heard; your staff step in when they can, not when the customer is already gone.

Follow-up that nobody has to remember

Sequences run in the background on a schedule you set — a nudge after two days, a check-in after a week — and stop the moment the customer replies.

Get you approved on Meta properly

WhatsApp Business API requires Meta Business Manager setup, business verification with matching documents, display name approval and message templates approved before you can send. We prepare the whole submission and handle the back-and-forth.

Deliverables

What you get

Everything below is written into your scope document before work starts, so there is no argument later about what was included.

Talk about this

  • WhatsApp Business API set up and connected to your number
  • Meta Business Manager configuration and business verification support
  • Display name and message templates drafted and submitted for approval
  • Website-to-CRM enquiry routing with source tracking
  • Automated acknowledgements and follow-up sequences
  • Custom REST APIs and webhooks where your tools do not talk to each other
  • Written documentation of every automation, so you can switch any of it off

Questions

Before you ask us.

What is the difference between the WhatsApp Business app and the API?

The free app runs on one phone and is fine for a small operation. The API has no app — it connects to your systems, works for a whole team at once, supports automation and template messages at scale, and requires Meta business verification. If more than two people need to answer, or you want automation, you need the API.

How long does Meta business verification take?

A few business days once documents are in order, longer if Meta comes back with queries. The most common cause of rejection is a mismatch between your website details and your registration documents — which is why we check those first and fix the website before submitting anything.

Will customers get spammed?

Not if it is built properly. Meta requires explicit opt-in before you can message anyone, and every message must offer a way to stop. We build both in from day one, because accounts that ignore this get restricted.

Do I have to change my CRM?

No. We integrate with what you already use wherever an integration exists, and build a custom connection where it does not. Replacing working software is usually the most expensive way to solve a small problem.
